Office Assistant

Summary/Objective

The Office Assistant is responsible for maintaining office operations and supporting his/her team. Primary responsibilities include but are not limited to administrative functions, client invoicing, inventory and sales quoting and tracking.

Essential Functions

  • Perform receptionist duties including but not limited to answering phone calls and greeting clients.
  • Schedule team trainings and coordinate travel arrangements.
  • Create and update client records ensuring accuracy and validity of information.
  • Verify tax exemption certificates, update client records accordingly and maintain expiring tax exemption certificates.
  • Perform Precision Crop Reporting processes and procedures for the submission of data into the PCR Portal.
  • Quote all new business as requested by the sales team.
  • Create and prepare custom maps for team and customers using SMS, or other mapping software.
  • Act as inventory clerk, checking parts in and out of the parts room as requested by technicians.
  • Assist in being creative/resourceful with parts to aid the technicians.
  • Place inventory orders to ensure the most favorable pricing, taking into consideration time and budgetary requirements.
  • Loading and unloading of inventory deliveries (semis and/or trucks).
  • Complete monthly audits of the inventory and sales management system and address any issues found.
  • Prioritize, schedule and implement inventory control functions to maintain optimum levels of inventory, including equipment, tools and materials.
  • Coordinate with service to ensure timely distribution of inventory.
  • Ensure adequate storage space and organization for inventory.
  • Complete and maintain all required paperwork and documentation.
  • Participate in weekly team meetings and complete projects as assigned.
  • Ensure compliance with all safety, housekeeping, and work rules and regulations.

Education & Experience

The following are the minimum requirements for the position, which may be satisfied by an equivalent combination of education and experience.

  • Bachelor’s Degree preferred.
  • Inventory and customer service experience preferred.

  • Training, certifications and licensures will be discussed as deemed appropriate by your supervisor.

The following are the minimum requirements for performing the essential functions of the position.

  • Strong administrative and organizational skills with the ability to successfully prioritize multiple projects and meet tight deadlines.
  • Strong math skills with the ability to calculate figures and forecast needs.
  • Strong attention to detail and accurate data entry skills.
  • Good verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Outlook and Excel. 
  • Ability to load and unload inventory or parts from/to semis, trucks and trailers.
  • Ability to operate forklift/fork truck.
  • Ability to work outside regular business hours, including evenings and weekends, if needed.
  • Possession of a valid driver’s license and proof of insurance and liability coverage included in his/her personal auto insurance policy.
  • Must be able to perform the duties of their position which requires operating a company vehicle.

Specific vision abilities required by this job include the ability to regularly read from a computer, tablet or smartphone device; and ability to operate a forklift, and fork truck and occasionally operate a motor vehicle when traveling for business.

  • This position operates in a fast-paced, business-casual office environment with a moderate noise level.  The employee is regularly exposed to outdoor weather conditions throughout the year for inventory management and work-related travel.

  • This position is required to travel occasionally, normally local and during business hours, with the possibility of further distance and overnight.
